All users require an account to access CreateTOTALLY. User accounts define who the user is, what content they can access and what permissions they have. Each user has:
- Name
- Email address
- User role
- Markets they can access
- Campaigns they can access
User roles
User roles define what permissions a user has to perform tasks within CreateTOTALLY. Below is a summary of the key user roles and their permissions.
Workflows can be set-up to automatically assign a review task to someone based on their user role. So user roles not only define what permissions users have, but also their responsibilities. For example, the Account Manager and Client Market Managers have very similar permissions, but can be used at different stages in the approval process.
Campaign access
All master templates and assets are assigned to a campaign. This allows access to content to be controlled at a campaign level. Campaign access will be based on the user role, which can be further restricted based on what market, country, language or media type they should have access to.
This is useful when setting up approval workflows using user roles, where a user role can be added along with more detail about the user. So for example, if you have multiple Client Market Managers working in different markets, you can add market, country or language to them to ensure they receive the correct approval tasks.
Creating a new user
To create a new user navigate to System Admin > Manage users. Click Invite users. Complete the users name and email and select an existing user that has the same permissions and access as the new user you are setting up.
The user will receive a welcome email giving them access to their account. A temporary password will be included in this email, which they will need to change before setting up.
Editing users
To edit a user click the context menu icon next to the users name and select Edit.
You are able to edit the users first and last name as well as their email address, as well as the user role, clients and markets they have assigned. You can also archive users.
